Who is this role for
The admin is the one responsible for making Xperius work for your organization. Typically, the person taking on this responsibility would be a ReOps lead, researcher owning some operations responsibilities, or an IT/ops contact standing up the platform. This means you will be doing a lot of management and monitoring and less hands-on research on the platform.
What you have access to
As an Admin, you have full access to the platform. That means:
Org workspace — configure your organization profile and authentication policies
Users — invite, edit, deactivate, and delete users; view and set all user types and statuses
Teams — create and manage project teams that researchers and collaborators work within
Integrations — connect and maintain third-party tools to the platform
Research activities — full visibility into Studies, Programs, Taxonomy, and all research content; keep abreast of what the team is doing
Showcase — design and manage the public-facing research portal your stakeholders will use
Applied research — access to Opportunities and related features
Data governance — create and manage your research taxonomy utilized by researchers in analysis; audit how the org is using Qwin AI
Account & billing — manage your plan and payment options; plan out renewals; track down invoices and receipts
Yours is the only role that can access account settings navigation, invite new users, modify workspace-level policy settings, and manage the account.
Your first 6 steps
Complete your account setup. After accepting your invite email and clicking Accept invitation, you'll be walked through a three-step profile setup: set your password, fill in details about yourself, then set your avatar (upload a profile picture or use your initials). Click Set avatar to finish.
Configure your Org workspace. Navigate to Settings > Org workspace in the main navigation. Under Org profile, confirm your organization details such as company name, logo, and lead admin (primary contact to Xperius). You can optionally set your geography and industry. Then go to Policy settings to configure Authentication Policies (including auto sign-out and idle time). Click Save when done.
Invite your team. Go to Settings > Users in the main navigation. Click Take action > Add user to invite users from your organization. Assign the appropriate user type and send invitations. Users have 7 days to accept before the invite expires.
Define your project teams. Navigate to Settings > Teams in the main navigation. Specify the teams you researchers work with and features they do research around. These become the organizational structure for research activities and Showcase content.
Set up your integrations. Navigate to Settings > Integrations in the main navigation. Every integration process will be slightly different and may require working with administrators of the product you are integrating with. The more you connect, the more Xperius can do both in the platform and inside those integrating products.
Customize your Showcase. Go to Showcase > Design & Setup in the main navigation to configure your public research portal — the page your stakeholders will use to browse published research. Set it up before your researchers start publishing so their work goes out looking polished from day one.
Tips & tricks
There are a couple of things worth knowing as an Admin that will make Xperius easier to run and more impactful for your organization's research practice.
Start small, work through 1-3 pilot projects as an org. Use these projects to agree on your taxonomy, naming conventions, collaborative approaches across roles, and roll out plans.
Keep an eye out for the number of licenses you are using. For Studio and Team plans you have a certain number of core and extended licenses. Core licenses can be used for Admin and Researcher user accounts. Extended licenses can be used for Collaborator and Observer user accounts. Showcase stakeholder accounts are unlimited for all plans.
If you plan to use integrations, don't wait to set these up. They may involve reaching out to IT partners and working with peers to understand how to leverage these in their own processes in addition to configuration on the Xperius side.
